My Resources

The My Resources view displays resource allocation and availability across projects, helping you monitor resource load. Customizable filters, columns, and sorting options are available to tailor the view to your needs.

Resource load calculations

The resource views display resource load calculated on a weekly basis for the projects included in the view’s filters. Several options allow you to customize how resource load is aggregated and displayed:

  • Template: The template option lets you aggregate resource load across projects based on resource name, so resources with the same name are combined into a single entry when using a selected template.

  • Load Period and Load Type: These settings provide control over the timeframe and method for calculating resource load, offering flexibility in viewing standard or conservative load estimates. Project filters further refine the projects included in the load calculations.

Resource load data is recalculated only during an Update Schedule for each project.

Customizing and saving your view

The My Resources view offers several options for customization, allowing you to tailor the view to your specific needs. You can adjust filters, columns, sorting, and other display settings to better manage your resource list.

Template

At the top of the Resources View, you’ll find a Template selection dropdown, which is set to None by default. By clicking on it, you can select from a list of project templates that you have permission to view. Project templates are simply projects designated as templates and can be used as resource templates within a resource view.

When no template is selected (None), each resource is listed separately for every project. However, when a template is selected, the view will display only the resources defined in that template. Resources with the same name across different projects are grouped into a single entry, summarizing all associated loads.

Additional features when a template is selected:

  • Aggregated Load: The view aggregates load data for resources across projects that match the view filters, using the selected template as a reference.

  • Project Column Update: The Project column becomes the Projects column, showing the number of projects included in the aggregated load data for each resource. Hover over the count to see a list of the project names.

You can further refine the data shown by using filters to limit the projects included in the load aggregation.

Load Period

The Load Period defines the timeframe over which resource load is calculated in the resources view. There are three options for specifying a load period:

  • Project Duration: Calculates load over the full duration of each project. If a template is selected, the load period is based on the longest project within the filtered set.

  • Relative Duration: Allows you to specify a rolling timeframe starting from today, such as "Next three months."

  • Duration Range: Allows you to select a custom start and end date for calculating the load.

The heat map and columns marked with display data calculated according to the selected Load Period filter. Note that resource load data is recalculated only when an Update Schedule is executed for the project.

Load Type

Select between Projected Times and Expanded Times to determine the basis for resource load calculations. Projected Times use the standard times calculated by the Project Scheduler with Focus Duration, while Expanded Times are calculated using Low-Risk Duration for a more conservative estimate.

Sorting

Resource views can be sorted with up to three levels of sorting. You can sort by any field that is marked as sortable in the resource fields documentation.

Action menu

The action menu is available in the resource Name column by clicking the menu icon next to the resource name. It provides quick access to additional functionality:

Heat map

Resource views include an optional Heat Map that displays each resource's weekly load, aligned with the table view. By default, the heat map shows each resource separately per project. However, if a project template is selected, the heat map aggregates load data for resources with the same name across projects that match the view filters, displaying only resources defined in the selected template.

  • Zoom: Adjust the time scale for a more detailed or broader view. There's also a button to automatically scale to view all of the load on the current page.

  • Legend: Displays the color scale, based on the selected Color Scheme.

  • Tooltips: Hover over the load data in the heat map to view detailed information about resource load for a specific week. From the tooltip, you can click View Tasks to see a list of tasks contributing to the weekly load, or View Load Graph to open a detailed Load Graph for the resource.

  • Show Load Labels: Toggle this option on to display the percentage load in each heat map cell, if space permits.

  • Load Type: Choose between Total Task Load and Critical Task Load to display either the overall resource load or only the load from critical tasks in the heat map.

  • Max Load: Set a maximum load percentage for the heat map. Cells with load values exceeding this threshold will display the darkest color, highlighting high load periods.

  • Color Scheme: Select a color scheme that best highlights the data, providing multiple options for optimal clarity.

  • Table Density: Choose Compact to reduce row height and fit more data on the screen.

Load graph

The Load Graph provides a visual representation of resource load over time and is opened in a dialog on top of the Resource View. You can open a Load Graph for any resource from the action menu.

The Load Graph displays a bar chart of load data for the selected resource, with options to customize the view for better analysis:

  • Load Period: Defines the timeframe for load calculations, with the same settings as in the resource view.

  • Load Type: Selects either Projected Times or Expanded Times, using the same definitions as in the resource view.

  • Time Scale: While load data is calculated weekly, you can adjust the time scale in the Load Graph to display data by Month or Quarter.

  • Group by: Segregate load within each bar. Selecting Critical Tasks separates non-critical and critical load, while selecting a Template in the Resource View allows you to group by projects in the Load Graph.

  • Show Availability: Enables a dotted line and shaded area to indicate the resource's availability for the specified period. Bars that exceed this line reflect a load above 100%.

You can also click on any segment within a bar to open a task list view with the specific tasks contributing to that load segment, allowing for a detailed review of tasks impacting resource load.

Load warnings

A warning icon may appear next to a resource’s name to indicate issues affecting the accuracy of its load data. Hover over the warning icon to view specific details. If a warning appears in the Resource View, it will also display in the Load Graph for that resource.

The following warnings may be displayed:

  • Status date is more than 7 days old: "This project has a status date that is more than 7 days old. Run the Update Schedule on the project to recalculate its resource load."

  • Resource has not been scheduled: "Load data has not been calculated for this resource. Run the Update Schedule on the project to recalculate its resource load."

  • System option for First Day of Week has been changed: "The default system option for First Day of Week has been changed. Run the Update Schedule on the project to recalculate its resource load."

These warnings help ensure that load data is up-to-date and accurately reflects any changes to scheduling or system settings.
