Update tasks

Keeping task information up to date is essential for accurate project tracking and effective team coordination. In Fusion Online, there are several ways to update a task’s status, duration, and assignment—whether you're working from a personal task list or searching across projects.

Find the task you want to update

You can update a task from any task view, such as My Tasks. Use filters and sorting to narrow down the list, or use the global search bar in the top navigation to find a specific task by name or key.

Update task status and duration

In a task view:

  • Click on the Duration or Task State column to open the Task State Modal.

  • This modal allows you to:

    • Change the task state (e.g., Not Started, In Progress, Complete)

    • Update the duration Range

    • Add a status comment

Updating the Duration Range

Click directly in the Duration box to edit the task’s estimated time range. You’ll see two fields:

  • Focus Duration – How quickly the task can be finished with focused effort

  • Low-Risk Duration – A conservative estimate that accounts for likely delays or variability

Click on each number to enter a new value. To change the time units, click on the unit label (e.g., "d" for days) and type the first letters of your desired unit:

  • m = minutes

  • h = hours

  • d = days

  • w = weeks

  • mo = months

The duration range helps model realistic uncertainty. Instead of relying on a single estimate, Fusion Online uses this range to calculate buffers and forecast risk. The focus duration reflects best-case timing with strong attention, while the low-risk duration provides a more cautious view in case things don’t go as planned.

Change the assignee

You can reassign a task directly from a task view:

  • Click the Assignee field to open the user selection menu.

  • Select a new assignee from the list to update ownership.

Use the Task Details for full editing

For more in-depth updates:

  • Click the task name in any task view to open the Task Details.

  • From here, you can update a wide range of fields, including:

    • Task name and description

    • Links and dependencies

    • Resource assignments

    • Constraints

    • Custom fields

Bulk update tasks

When you need to make the same change across many tasks, you can use bulk update:

  1. In any task view, select multiple tasks using the checkboxes on the left.

  2. Click the Bulk Update button in the bulk actions toolbar.

  3. The bulk update sidebar will open, where you can:

    • Choose which fields to update

    • Set new values for each selected field

  4. Click Continue to preview the changes.

  5. Review the summary and click Confirm to apply the updates to all selected tasks.

You can update most task fields in bulk, including resource assignments, groups, managers, and custom fields.

When to update tasks

While specific processes vary by organization, it’s generally recommended to update task status:

  1. Immediately when a task is completed

  2. On a regular basis, such as weekly, in preparation for a team progress meeting

Keeping tasks up to date ensures the project schedule remains accurate and gives the project manager clear insight into what’s progressing and what may need attention.
